Job Overview:
The Accounts Receivable Specialist is responsible for managing the full-cycle accounts receivable process, including reconciling customer accounts, processing and applying payments, and ensuring timely collections. This role plays a critical part in maintaining accurate financial records and supporting customer satisfaction through clear and professional communication.
Supervisory Responsibilities:
- None.
- Customer Account Reconciliation
- Reconcile customer accounts to ensure accuracy and resolve discrepancies.
- Investigate and resolve unapplied or misapplied payments.
- Collaborate with the billing and customer success teams to address account issues.
- Payment Processing
- Process incoming payments via checks, ACH, and other payment methods.
- Prepare and make physical or remote check deposits.
- Accurately apply payments to customer accounts in the accounting system.
- Collections & Communication
- Monitor aging reports and follow up on past-due accounts.
- Communicate with customers regarding outstanding balances and payment plans.
- Maintain detailed records of collection activities and customer interactions.
- Reporting & Documentation
- Assist in month-end closing by preparing AR reports and reconciliations.
- Maintain accurate and up-to-date customer records.
- Support audits by providing necessary documentation and explanations.
- Process Improvement
- Identify opportunities to streamline AR processes and improve efficiency.
- Assist in implementing automation tools or system enhancements.
- Associate’s or bachelor’s degree in accounting, Finance, or related field preferred.
- 2+ years of experience in accounts receivable or general accounting.
- Experience in the SaaS or UCaaS industry is a plus.
- Proficiency in accounting software (e.g. Rev.io, QuickBooks, or similar).
- Strong Excel skills and familiarity with ERP and CRM systems.
